All Contacts

View, search, filter, edit, and export every contact in your workspace.

The All Contacts view is your main contact list — a table where you can search, filter, edit, and export contacts.

Opening All Contacts

  1. Go to Contacts in the left sidebar.
  2. Click All under the Contacts menu.

You'll see a table listing every contact stored in your workspace.

Page elements

  • Top bar:
    • Search: Search contacts by name, email, or phone.
    • Filters: Open the Quick Filter drawer to apply temporary filters.
    • Segment Selector: Apply a saved segment to the table (e.g. "High value customers").
    • Live Toggle: Turn on Live mode to auto-refresh contacts every few seconds.
    • Columns (Contact Fields): Choose which custom fields to display as columns.
  • Table:
    • Rows represent contacts.
    • Columns include:
      • Select – Checkbox to select contacts for bulk actions
      • Name – Contact name with avatar and color
      • Email – Editable inline
      • Phone – Editable inline
      • Created At – When the contact was created (shown as "x time ago")
      • Last Interaction – Time since the last message, with a hover preview of the last message
      • Campaign Opt-in – Toggle to control whether the contact can be used in campaigns
      • Custom Fields – Any extra contact fields you've chosen to show (editable)
      • Conversation Fields – Read-only columns that summarize conversation-level custom fields
      • Actions – Button to open the contact editor

Searching and filtering

  • Search bar:
    • Type a name, email, phone, or keyword.
    • The list updates after a short delay to show matching contacts.
  • Quick Filter drawer:
    • Click Filters to open the drawer.
    • Add one or more filter conditions (for example: label, created date, custom field value).
    • Choose whether all conditions must match (AND) or any can match (OR).
    • Apply the filter to narrow the contacts list instantly.
  • Segments:
    • Use the Segment dropdown to apply a saved segment.
    • When you select a segment:
      • The banner above the table shows how many contacts match and which segment is active.
      • Manual filters and quick filters clear so the data matches the segment definition.

Live mode

  • Turn Live on to:
    • Auto-refresh the contacts list every few seconds.
    • Keep the table in sync with incoming conversations and new contacts.
  • Turn Live off to:
    • Stop auto-refresh and work on a stable snapshot of data.

Editing contacts inline

You can update some fields directly inside the table:

  • Email and Phone:
    • Click the value to start editing.
    • Type the new value and press Enter or click away to save.
  • Contact custom fields:
    • For text/URL/phone/email fields – type directly.
    • For number fields – type a numeric value.
    • For select and multi-select fields – choose from the dropdown options.
    • For date fields – pick a date from the date input.
  • Campaign Opt-in:
    • Use the switch to enable or disable campaign opt-in for that contact.

Cloodot saves changes automatically.

Viewing contact details

  • Click any contact row to open the Contact Details drawer.
  • In the drawer you can:
    • See full profile information (name, email, phone, image).
    • Review recent conversations and custom fields.
    • Make deeper edits depending on your workspace settings.

Bulk actions and deletion

  • Use the checkboxes on the left to select one or more contacts.
  • When contacts are selected:
    • An action bar appears at the bottom with the number of selected contacts.
    • Click Delete to remove the selected contacts.
    • A confirmation dialog explains:
      • How many contacts have conversations.
      • How many have no conversations.
    • Confirm deletion to remove the selected contacts.

Note: Deleting a contact is permanent. Be careful when deleting contacts that have conversation history.

Pagination

  • The table shows a fixed number of contacts per page (e.g. 10 per page).
  • Use the Previous / Next buttons or page numbers at the bottom to navigate.
  • The footer row shows the total number of contacts found.

Exporting contacts as CSV

To export contacts to a CSV file for use in other tools:

  1. Narrow the list with search, segments, or filters (optional).
  2. Click Download CSV in the page header.
  3. Configure the export:
    • Number of Contacts: Choose how many contacts to include (within the allowed range).
    • Sort By: Choose Last Interaction or Created Date.
    • Additional Data:
      • Include labels from recent sessions.
      • Include custom fields from recent sessions (if any exist).
  4. Confirm to start the download.

Your browser downloads a CSV file named with the current date.
